Searchroom Rules

Researchers are required to follow the registration procedures producing proof of identity and by doing so are deemed to have agreed to observe these rules. |

Records shall be available at advertised hours of opening for inspection by the public in the supervised Search Rooms, subject to conditions agreed with depositors. |

Access to certain series of records may be restricted in accordance with current legislation and Record Office policy |
* |
Material kept in outstores requires a minimum of one week’s notice before being made available in the Search Rooms. |

The issue of records is at the discretion of the Duty Archivist. Documents which are too fragile for handling cannot be issued and collections which await listing are not available for consultation. |

Researchers are required to follow the document ordering and production systems in operation in the Copy Search Room and Document Search Room |

To avoid unnecessary disturbance the Search Rooms researchers are asked to maintain a reasonable level of quietness. For this reason, typewriters, tape-recorders and mobile telephones may not be used in the Search Rooms. Lap-top computers may be allowed at the discretion of the Duty Archivist. |

The bringing of any food or drink into the Search Rooms is not permitted. |

Pencils only may be used in the Search Rooms, and no pens should be brought into the rooms |

There is strictly no smoking permitted within the building |
* |
Hand-held copiers, electronic scanners may not be used in the Search Rooms. Cameras may be used at the discretion of the Duty Archivist. |

All coats and bags, including handbags, must be left on the pegs or in the lockers provided and not taken into the Search Rooms. |
* |
Records should be handled with care and within the guidelines ‘Handling of Records’ issued by the office. Researchers will use equipment in connection with consulting records as directed by Search Room staff. |

No document shall be removed from the Glamorgan Record Office except with the sanction of the Glamorgan Archivist. |

Publication of any documents in full or in extract is permitted only after obtaining the written permission of the Glamorgan Archivist. |

The tracing and copying of documents is within the discretion of the Duty Archivist and permitted within the conditions of the conservation guidelines, copyright restrictions and owner’s restrictions. Payment for photocopies, photographs and printouts is required in accordance with the advertised fees and charges. |

Any
researcher not complying with these regulations will be liable to exclusion
from the Glamorgan Record Office. |
